Office Administrator

POSITION: OFFICE ADMINISTRATOR

Responsible To: Managing Partner

Vacant Positions: One

Reporting to the Managing Partner, Partners and Associate


JOB DESCRIPTION:

  • Ensuring timely implementation of tasks assigned;
  • Creating awareness, publicity and advocacy to galvanize support for the Law firm;
  • Creating and maintaining strong relationships and communications linkages with key stakeholders;
  • Monitoring and evaluating all aspects central to the execution of the tasks assigned;
  • Providing secretarial, logistical and coordination services to all tasks assigned;
  • Organising and servicing meetings (producing agendas and taking minutes)
  • Managing databases, Handling correspondence, file papers and documents
  • Implementing new procedures and administrative systems
  • Liaising with relevant organisations
  • Coordinating mail-shots and similar publicity tasks
  • Write business letters, reports or office memos using word processing programmes
  • Answer telephone enquiries from customers, attend to visitors and assist other staff in the organisation with their enquiries
  • Operate a range of office machines such as photocopiers, computers and faxes
  • Conducting research on topical issues relevant to Law firm;
  • Any other functions as may be assigned from time to time.


Personal Requirements:

  • able to supervise others
  • good oral and written communication skills
  • aptitude for working with computers
  • Good organisation skills.
  • Be a visionary, self-driven individual with outstanding knowledge and experience in planning and implementation of office administrations;
  • Outstanding managerial and organizational skills and be able to lead and manage result oriented teams;
  • A clean track record of honesty and integrity;
  • Excellent negotiation, interpersonal and team work skills;
  • Strong leadership skills and sound judgment to interpret, analyze and resolve operational problems; and

Desirable qualifications, knowledge and experience

To qualify for this position, applicants must have the following:
  1. Diploma in Commerce, Computer Studies, Business Administration or equivalent qualifications;
  2. At least one (1) year experience in secretarial and/or office administrative works;
  3. Clear understanding of the legal landscape in Kenya
  4. Proficiency in MS office and ability to undertake research work;
  5. A Diploma in Law will be an added advantage.
